Marketing and Advertising Procedures - VET

Purpose: 

To establish responsibilities for ensuring that the College disseminates accurate and current information about itself and its VET services.

Scope: 

These procedures apply to the Registrar and the Marketing Manager.

Statement: 

Responsibilities of the Registrar

  1. Consult with academic staff, the Academic Standards and Risk Committee and documents relating to RTO Standards (2015), National Code (2018), Accreditation, and Authorisation to Conduct to ensure that all information provided is accurate, factual, ethical and meets regulatory requirements.
  2. Review the website prior to the start of each semester and implement any changes necessary to ensure that it all information about courses, training packages and units of competency is accurate.
  3. Ensure that the website displays the tuition fees payable by a student and any other expenses that a student can expect.
  4. Ensure that the website displays details about potential government financial assistance and government funded subsidies.
  5. When the College’s scope of registration changes or there is a change to the list of HE accredited courses ensure the website is updated to correctly represent these changes.
  6. When there is a transition to a new VET training package or unit of competency or the reaccreditation of a HE accredited course ensure the website is updated to correctly represent these changes.
  7. For VET training packages and units of competency ensure that the web-site displays the following:
    • The College RTO code
    • The National Regulator code and full title for each training package and unit of competency
    • The NRT logo
  8. The Registrar shall advise staff, faculty and visiting trainers, assessors and lecturers of any updated information which has implications for the conduct of their College activities.

Responsibilities of the Marketing Manager

  1. Update the website when instructed by the Registrar.
  2. Ensure that all paper based advertising materials include the following:
    • The College name
    • The College logo
    • The College website address
    • Contact information
    • The College RTO code for any VET units of competency
    • The National Regulator code and full title for each training package and unit of competency for any VET training packages/units of competency
    • The NRT logo for any training packages/VET units of competency
  3. Ensure that any radio advertisements include the following:
    • The College name
    • the College website address
    • Contact information
  4. Gain the written consent of any individual or organisation before using that person or organisation in any advertising.
  5. Ensure that any joint marketing materials involving third parties meet all the requirements listed above.
  6. Monitor and manage the performance of third parties, including representatives.
